Understanding Break-Even RPM

Your break-even rate per mile is the most important number in trucking. Here's how to calculate it.

The Complete Guide to Trucking Cost Management

Your break-even RPM (Rate Per Mile) is the minimum rate you need to accept a load and not lose money. It's the most important number in trucking — and most truckers don't know theirs.

Break-Even vs. Profitable

There's an important distinction:

  • Break-even RPM: Covers all your costs. You don't make money, but you don't lose money either.
  • Target RPM: Your break-even plus a profit margin. This is what you should actually aim for.

How to Calculate Your Break-Even RPM

Start with your true cost per mile. That number IS your break-even RPM.

For example, if your true cost per mile is $1.76, then:

  • Any load paying less than $1.76/mile = you lose money
  • Any load paying exactly $1.76/mile = you break even
  • Any load paying more than $1.76/mile = you profit

Why Truckers Get This Wrong

Most truckers calculate break-even based only on fuel. "Diesel is $3.50 and I get 7 MPG, so anything over $0.50/mile is profit." Wrong.

They forget about the truck payment that's due whether they run or not. The insurance premium. The maintenance. The permits. Their own salary.

A $2.00/mile load looks great until you realize your true cost is $1.76 — your actual profit is only $0.24/mile, not $1.50.

Variable vs. Fixed Costs

Here's where it gets nuanced:

  • Variable costs (fuel, driver pay) only happen when you run. If you sit, you don't pay them.
  • Fixed costs (payment, insurance, permits) happen whether you run or not.

This creates a "marginal load" situation: a load that covers variable costs but not fixed costs might still be worth taking if the alternative is sitting empty. But it's not profitable — it just loses less money than sitting.

The HaulProfit Approach

We use three colors:

  • Green: Covers ALL costs plus profit. Book it.
  • Yellow: Covers variable costs, but not all fixed costs. Better than sitting, but not ideal.
  • Red: Doesn't even cover variable costs. Pass immediately.
